Terms & Conditions

Last updated: 25 May 2026. By booking a stay, joining the Fit Lab, attending an event or using gaiahostels.com, you agree to these terms.

1. About us

"Home of Gaia", "we", "us" or "our" refers to the accommodation, café, Pantheon Community Bar, Open Air Theatre and Gaia Fit Lab operated by Sharo Philip at Survey no 107/2K, near Vidya Prasarak High School, Morjim, Bardez, North Goa 403512, India. Email gaiahostels@gmail.com, phone +91 86693 69813. "Website" means gaiahostels.com and any sub-domains.

2. Eligibility

You must be at least 18 years of age to book a room directly or to purchase a Fit Lab membership. Guests under 18 may stay only when accompanied by a parent or legal guardian who has agreed to these terms on their behalf.

3. Bookings & payments

• Room rates shown on the website are per room, per night, inclusive of applicable taxes unless stated otherwise.
• You may either pay in full (10% discount applied) or pay a 50% deposit with the balance due in cash, card or UPI at check-in.
• All online payments are processed by Razorpay Software Pvt. Ltd. We do not store your card or banking credentials. Card data is held by Razorpay under PCI-DSS.
• An invoice (GST format) is issued automatically and emailed to the booker on successful payment. A copy is reachable via the link in your confirmation email.
• If a payment is captured but our system fails to confirm your room, our team will manually confirm or refund within 24 hours.

3.1 Government photo ID

Indian hotel rules require us to record a valid government-issued photo ID for every guest. You agree to upload a clear photo of a valid Aadhaar, Passport, Driving Licence or Voter ID during the booking flow and to present the same ID at check-in. Foreign nationals must present a passport for Form C compliance.

4. Check-in & check-out

• Standard check-in: from 2:00 PM IST. Standard check-out: by 11:00 AM IST.
• Early check-in / late check-out is subject to availability and may attract a half-day charge.
• Failure to present a valid government ID may result in refusal of accommodation. In such a case, payment for the first night is non-refundable.

5. House rules

• No smoking inside any indoor area. Designated outdoor smoking zones only.
• Quiet hours: 11:30 PM – 7:00 AM. Music with consideration; no parties in dorms or private rooms.
• Outside food & alcohol are not permitted in the bar or restaurant areas.
• Pets are not allowed.
• You are responsible for your personal belongings. Lockers are available; please use them.
• Damage to property, theft, harassment, drug use or threatening behaviour will result in immediate eviction without refund and may be reported to local authorities.

6. Gaia Fit Lab terms

• All members must complete a fitness questionnaire and waiver before their first session.
• Memberships are non-refundable and non-transferable except where required by law. See our Refund & Cancellation Policy.
• You train at your own risk and should consult a physician before commencing combat-sport, strength or hot/cold-therapy programs.
• We reserve the right to pause or cancel classes due to weather, public-holiday closures, or trainer unavailability; pro-rata credit applies if a class is cancelled by us.

7. Pricing & availability

Prices, schedules and availability shown on the website are indicative and may change without notice. We will honour the price you paid at the time of confirmation. Prices are quoted in INR (₹).

8. Intellectual property

All content on gaiahostels.com — text, photography, design, code, the "Home of Gaia", "Pantheon Bar", "Gaia Fit Lab" and "Gaia Cafe" marks — is owned by us or our licensors. You may share links and screenshots for personal, non-commercial use. Any commercial use, redistribution, scraping or framing requires written consent.

9. Limitation of liability

To the maximum extent permitted by law, our total liability arising out of or related to your booking, stay or use of any service is limited to the amount you paid for that booking or membership. We are not liable for indirect, consequential or incidental losses including loss of income, loss of enjoyment or third-party transport delays. Nothing in these terms excludes liability that cannot lawfully be excluded.

10. Indemnity

You agree to indemnify us against any third-party claim arising from your breach of these terms, your use of any facility (including Fit Lab equipment, pool, sauna and ice bath), or your conduct on our premises.

11. Force majeure

We are not liable for failure to perform due to events outside our reasonable control, including but not limited to acts of God, government action, monsoon flooding, electrical or internet outages, strikes, or public-health restrictions. In such events we will offer a credit, date change or refund at our discretion.

12. Governing law & disputes

These terms are governed by the laws of India. The courts at Mapusa, Bardez (Goa) have exclusive jurisdiction. Before litigating, you agree to first raise the issue in writing to gaiahostels@gmail.com and allow us 30 days to resolve it.

13. Changes to these terms

We may update these terms from time to time. The most recent version is always at gaiahostels.com/terms. If we make material changes that affect a booking you've already paid for, we will honour the version in force at the time of your booking.
