Refund & Cancellation Policy

Last updated: 25 May 2026. This policy covers room bookings and Gaia Fit Lab memberships paid through gaiahostels.com via Razorpay. Bookings made through Hostelworld, Booking.com or Agoda follow that platform's policy — please cancel via the same platform you booked through.

1. Room bookings — cancellation window

Mid-stay early departure No refund Nights already started are billed in full. Future nights may be credited at our discretion if you give us 24-hour notice.

How to cancel a room booking

  1. Open the cancellation link in your booking confirmation email, or go to gaiahostels.com/cancel.
  2. Enter your Razorpay payment ID (starts with pay_…) and the email address you used to book.
  3. Review the refund amount, optionally tell us why, then click Confirm cancellation.
  4. If you can't find your payment ID or the form errors out, WhatsApp us on +91 86693 69813 and we'll handle it manually.

2. Gaia Fit Lab — memberships & day passes

Memberships, multi-day passes and day passes are non-refundable and non-transferable once purchased. This is because gym capacity is allocated on a per-pass basis and refunding individual sessions is impractical.

We make the following exceptions, at our discretion:

3. Events & experiences (yoga, ritual sessions)

Paid sessions (Sunday Ice & Fire Ritual, Wednesday Flow & Fire, private yoga) can be cancelled or rescheduled up to 24 hours before the session for a full refund or date change. Within 24 hours, the session is non-refundable but may be transferred to another guest with the same booking.

4. Failed payments & duplicate charges

If your card was charged but you did not receive a confirmation email within an hour, contact us with the Razorpay payment ID (it appears on your bank statement). We will either confirm the booking manually or process a full refund within 24 hours.

5. Force majeure

If you are unable to reach the property due to a public-emergency, flight cancellation caused by government action, declared natural disaster or pandemic-related travel restriction affecting your origin country, we will offer a full refund or credit valid for 12 months. Standard travel inconveniences (missed flights, delayed taxis, individual sick days) follow the standard cancellation window above.

6. Disputes & chargebacks

Please contact us before raising a chargeback with your bank — we will always work with you to resolve the issue directly. Chargebacks initiated without first contacting us, or for reasons outside this policy, will be contested with the Razorpay evidence package (booking record, ID match, communications).
